Develop communication system with Consortia to minimise emails and consolidate information.

Effective Communication Channels and system are established that facilitate the timely exchange of information between AHP agencies, and DRR stakeholders in Vanuatu and minimise email traffic and communication burden on AHP agencies.

Report regularly to the group on activities completed and upcoming activities.

AHP partners are well-informed about activity progress and upcoming activities and priorities.

Notes reflect accurate minutes of meetings and AHP interests

Represent AHP in country and with AHPSU where required, advocating on behalf of the needs of consortia members

Strong, open, relationship built on trust and transparent communication is fostered with NDMO.

Cluster meetings are well attended with represented by the AHP consortia. Neutrality is maintained in representation on behalf of all agencies.

Needs and perspectives of Vanuatu AHP members based on contextual realities and priorities is effectively communicated to AHPSU

Alongside DRCC chair, support new members to understand the role and function of the group.

New members have a strong understanding about the role and function of the Disaster Ready Country Committee (DRCC) Governance group.

New members know where and how to access information about the Vanuatu AHP consortia, including documentation of key actions and past decisions, etc.

Update terms of reference and operating procedures for approval by the DRCC ensuring Partnership Checks are conducted annually

Terms of Reference and operating procedures are reviewed, updated (where required), and approved on an annual basis.

Partnership checks are completed to a high standard and in a timely manner annually

Implement resolutions, directives, actions from DRCC as needed (eg advocacy approach, etc.)

Actions and resolutions from DRCC are actioned in a timely and effective manner.

Progress and or challenges and delays with actionable items/directives are communicated back to DRCC in a timely manner.

Provide meeting support (ie assisting the chair to develop agendas, collate and circulate reports, prepare and circulate minutes, etc.)

Meetings are well-organised, planned, and documented. Where relevant, input is sought from consortia members to ensure meetings reflect needs of the consortia and meeting minutes are agreed upon.

Ensure all program documentation is filed appropriately and is up to date (electronically and paper filing as necessary) and accessible for consortia partners as required.
