The Executive Assistant provides high-level administrative support to the Chief Financial and Administrative Officer (CFAO). Essential duties and responsibilities of the position include, but are not limited to, the following. This is a temporary position expected to run through June 30, providing overlap for training and transition, followed by coverage for an employee departing the organization. The schedule will begin part-time, three days per week (TuesdayThursday, approximately 2124 hours) in-office through March 27. Beginning March 30 through June 30, the role will transition to a full-time hybrid schedule, with Monday and Friday working from home and TuesdayThursday in-office, subject to operational needs. Standard hours for the role are 9:00 a.m. to 5:00 p.m.. Administrative Function as key liaison for CFAOs direct reports, internal staff, and external clients Respond to incoming calls and inquiries Manage and maintain CFAO calendar, including complex scheduling and arranging meetings with internal staff and external contacts (e.g., attorneys, bankers, auditors, city/state personnel) Assist in scheduling C-Suite meetings and events, including travel arrangements Prepare and edit correspondence, communications, and other documents Manage special projects and ad hoc duties as assigned by the CFAO, which may include preparing slide presentations and illustrative reports for the CFAO, with ad hoc support for C-Suite Required Qualifications Minimum 3+ years executive administrative support experience, supporting senior executives Outstanding proficiency with MS Office Suite (Word, Excel, PowerPoint, Outlook) Extensive experience with Zoom, MS Teams, and other communication applications Excellent calendar management skills and experience scheduling and managing travel arrangements Highly organized with excellent attention to detail Demonstrated initiative and innovation Outstanding interpersonal, oral, and written communication skills including proofreading and editing abilities Superior ability to handle confidential and sensitive materials discreetly at all times Ability to work competently with little or no supervision Ability to work collaboratively with teams Highly flexible, with ability to shift priorities Ability to respond confidently to urgent situations Desired Qualifications BA/BS Degree or higher, or a combination of education and experience Current or prior senior-level project management and administrative support experience in Accounting, Finance, Purchasing, or Information Technology Experience using Smartsheet or other project management web-based tools COMPENSATION Range: $45.50 – $50.50/Hourly This amount is not necessarily reflective of actual compensation that may be earned, nor a promise of any specific pay for any specific employee, which is always dependent on actual experience, education and other factors.
