About the Receptionist/Office Assistant
TheReceptionist/Office Assistantserves as the first point of contact for all visitors to Masas office, and helps maintain a secure and welcoming environment. The Receptionist/Office Assistant answers the door, greets visitors, directs them to staff or meeting rooms, takes messages, manages mail and deliveries, and at times may refer community members to additional services or providers. The Receptionist/Office Assistant also provides general office and administrative support to ensure smooth day-to-day operations.
This position is part-time (32 hours/week) and is ideal for someone who connects with Masas mission, communicates fluently in Spanish and English, and is friendly, professional, discreet, ethical, and highly organized.
Responsibilities:
- Welcome visitors, determine purpose of visit, check them in, and direct to staff or meeting rooms.
- Provide Masa program information as well as referrals to other providers to community members.
- Enforce building access control procedures (locked doors, sign in/out sheets, program attendance sheets)
- Maintain a tidy and welcoming office are, including the desk and reception area
- Handle mail and courier pickups/deliveries; log, sort and distribute incoming mail
- Track purchase orders, physical receipts, receipt of items, and communication to program staff about purchased items
- Support basic office administration: copying, filing, organizing supplies, data-entry
- Schedule and confirm appointments and meeting room bookings
- Help maintain staff schedules and general office calendars
- Maintain office supplies inventory and place orders when necessary
- Support volunteer check-in and basic volunteer coordination tasks
- Support community events, both onsite and offsite
- Uphold confidentiality policy and adhere to Masas protocols
- Run occasional office errands
- Other activities, as required
Qualifications:
The ideal candidate will possess many or most of the following qualifications:
- High school diploma; some college or certificate in office administration is preferred
- Oral and written fluency in Spanish/English
- 1-3 years of front-desk, receptionist, or customer-service experience (experience in nonprofit settings a plus)
- Proficiency with standard office software (Microsoft Office, Google Workspace, Canva, Asana)
- Strong administrative and organizational skills
- Highly organized, reliable, and punctual
- Excellent interpersonal skills and a warm, professional demeanor
- Strong commitment to Masas mission; experience working with immigrant families a major plus
Physical demands:
- This position is in-person at Masas office, and may require local travel to other settings at times (e.g. Masa community events, etc.)
- Ability to sit/stand for periods of time
- Moderate lifting and carrying of office items and program supplies is required (up to 25 pounds)
- Occasional schedule changes (e.g., early arrival/late dismissal; Saturday availability) may be required to support office operations and special events
Compensation:
$20-$23/hr
