Democracy Lab South (DLS) is a movement incubation hub that builds power, strategy, and infrastructure with and for multiracial, interfaith communities across the US South. We support community-based projects and organizations working toward racial, economic, gender, and environmental justice. We strengthen movement infrastructure by:

  • Facilitating connections for mentorship and collective learning
  • Providing subgrants and resource support
  • Offering coaching, training, and technical assistance

Position Overview

Demo Lab South is seeking a highly organized, detail-oriented Administrative Assistant to support internal operations, coalition coordination, travel logistics, and grant administration. This role is ideal for someone who enjoys behind-the-scenes work, is a strong communicator and writer, and can manage multiple administrative tasks with care and precision.

This is alow-hour, high-impact role(approximately 40 hours per month). The Administrative Assistant will work closely with the Director and staff to support smooth internal coordination and clear external communication with coalition partners and funders.

  • Is organized, reliable, and proactive
  • Is a strong writer who can take clear meeting notes, draft polished emails, and provide light copy editing
  • Is comfortable managing documents, systems, and administrative details
  • Communicates clearly and professionally with diverse partners
  • Thrives in a small, collaborative, values-driven organization
  • Is aligned with DLSs commitment to justice-centered movement work

Core Responsibilities

Meetings & Coalition Support

  • Attend staff and coalition meetings and produce clear, timely notes and summaries
  • Track action items and follow-ups
  • Draft and send coalition communications and updates
  • Help maintain meeting schedules and shared calendars

Operations & Systems

  • Organize and maintain Google Workspace folders and shared drives
  • Support internal documentation and administrative workflows
  • Manage receipts, reimbursements, and basic expense tracking

Travel & Logistics

  • Book flights and accommodations for staff and partners
  • Track travel details and submit receipts to the finance department
  • Support logistics for convenings, meetings, and events as needed

Skills & Qualifications

  • Strong written communication skills
  • Excellent organizational skills and attention to detail
  • Proficiency with Google Workspace, email, and Zoom
  • Ability to work independently and meet deadlines with minimal supervision
  • Comfort working with coalition partners across diverse backgrounds
  • Familiarity with nonprofit, movement, or advocacy spaces preferred

Hours, Schedule & Compensation

  • Approximately 40 hours per month
  • Flexible schedule coordinated with the Director
  • Occasional evening or weekend availability may be required
  • Compensation commensurate with experience (hourly; to be specified)
