Overview

Penns Village is a nonprofit organization that helps older adults in central Philadelphia remain active, independent, and connected to their community. Our work is carried out by a small, collaborative staff team of four, in close partnership with volunteers and board committees.

Penns Village serves older adults at multiple levels of engagement; this position focuses exclusively on our higher-need members, known as Villagers.

Villagers are older adults who receive ongoing volunteer support and engagement. They may receive up to three volunteer-provided services per week, such as transportation, errands, and friendly visits. Villagers may also participate in interest groups, programs, and social events, and access information through Penns Villages preferred-provider network. All Villager applicants complete an in-person intake interview.

We are seeking a compassionate, organized, and people-centered Member Services & Volunteer Coordinator to support Villagers, volunteers, and committees through consistent communication, coordination, and follow-up. This role involves frequent contact with Villagers and volunteers and is central to the day-to-day functioning of Penns Village.

Key Responsibilities

Volunteer Coordination & Support

  • Serve as the primary point of contact for volunteers, providing guidance, follow-up, and day-to-day support
  • Support volunteers serving in one of three categoriesDirect Service Volunteers, Companion Volunteers, or Administrative Volunteersand help ensure clear understanding of roles and expectations
  • Interview and onboard volunteers, including coordinating paperwork, background checks, and reference checks
  • Match volunteers to appropriate roles, including companionship and other approved volunteer activities
  • Conduct routine volunteer check-ins (e.g., 3-month and 1-year) and provide ongoing troubleshooting and support
  • Maintain accurate volunteer records, including tracking participation and logging volunteer hours
  • Coordinate volunteer recognition and appreciation efforts
  • Identify training topics requested by volunteers and organize trainings, including securing speakers and coordinating logistics
  • Organize volunteer engagement opportunities such as Coffee Hours, including identifying topics and speakers

Volunteer & Services Committee Support

  • Staff the Volunteer & Services Committee, which meets monthly via Zoom
  • Prepare agendas, take notes, and track follow-up items
  • Ensure committee members feel informed, engaged, and supported
  • Track committee activities in alignment with the annual scope of work
  • Collaborate with and support cross-committee efforts, including coordination with the Membership & Welcoming Committee, Marketing and Communications Committee, and Program Committee

Villager Support: Companion Program Coordination

  • Serve as a consistent point of contact for higher-need Villagers participating in the Companion Program
  • Match Villagers with companion volunteers and support successful ongoing relationships
  • Conduct annual check-ins with Villagers to ensure they understand and are using available benefits
  • Document companion-related interactions and notes using a standardized process
  • Monitor the quality of companion matches and address concerns or challenges as they arise

Preferred Qualifications

  • Bachelors degree with background in Social Work, Nursing, Public Health, or Gerontology or equivalent experience
  • At least 3 years of experience working with older adults or in a human services or community-based setting
  • Experience coordinating volunteers, members, or service programs
  • Strong interpersonal and communication skills
  • Ability to maintain confidentiality, boundaries, and professional judgment
  • Strong organizational and follow-through skills
  • Proficiency with basic computer tools (Microsoft Office, Google Workspace) and willingness to learn ClubExpress
  • Empathy, patience, and reliability

Schedule & Compensation

  • Part-time position, 20 hours per week
  • Hybrid schedule with some in-person responsibilities
  • Flexible and hourly compensation based on experience
