Position Overview
The Assistant Business Manager will provide critical support to the Business Manager in maintaining the organization’s financial operations, administrative processes, and business infrastructure. This role is essential in ensuring smooth day-to-day operations, supporting financial management, and contributing to the organization’s strategic goals.
Key Responsibilities
Financial Support and Administrative Operations:
- Assist in preparing financial statements and reports.
- Help maintain and organize financial records.
- Support budget tracking and reporting processes.
- Assist with payable reconciliation accounts.
- Prepare preliminary documentation for annual audits.
- Manage and organize digital and physical filing systems.
- Assist with mail processing and digital distribution.
- Support vendor communication and contract tracking.
- Help maintain office inventory and supply management.
- Coordinate scheduling for business-related meetings and events.
Business Operations and Data Management:
- Input and verify financial and operational data.
- Create and maintain spreadsheets and tracking documents.
- Assist in generating reports for internal and external stakeholders.
- Support data entry and reconciliation processes.
- Maintain and update digital record-keeping systems.
- Maintain Organization accounts (i.e. Zoom/Uber/ Adobe etc.)
- Coordinate communication between departments.
- Assist in preparing presentations and documentation.
- Support video and phone conferencing logistics.
Qualifications
- Commitment to the mission and vision of CARES.
- Bachelors degree preferred or relevant experience in business administration.
- A minimum of 1 year of experience in business administration.
- Goal-oriented with a solutions-focused approach to overcoming challenges.
- Excellent written and verbal communication skills.
- Ability to manage multiple priorities and meet deadlines effectively.
- Data-driven mindset with the ability to make informed decisions and track results.
- High level of personal and professional integrity and trustworthiness.
- Highly motivated self-starter with an entrepreneurial spirit and strong ability to work independently.
- Demonstrates exceptional organizational skills, sound judgment, initiative, and a solutions-oriented approach while managing multiple priorities with efficiency and focus.
- Familiarity with Bill.com and Sage Intacct or comparable accounting system.
Supervisory Environment
- None at this time.
Working Conditions
- This position is remote, with occasional travel required to meet with partners, team members, attend conferences, or participate in organizational events.
- The applicant will work from a home office and be expected to engage in phone andvideo conferencing as necessary.

Compensation and Benefits
This role is remote, and the salary range is $61,000-$65,000 yr DOE. Health benefits include Medical, Vision, and Dental. Other benefits: 403(b) retirement plan, 15 paid vacation days, paid sick leave, 12 paid holidays and more!
