The Seattle/King County Coalition on Homelessness is hiring an Operations and Programs Manager who will ensure smooth internal operations and contribute to the organizations strength and resilience. This person will serve as a strategic partner to the Executive Director and provide critical support to manage projects and implement strategies for our county-wide coalition of housing and service providers and community advocates. This is a full-time (40 hours per week), exempt position that reports to the Executive Director.

The Operations and Programs Manager is a new, critical leadership role in a small, dynamic, and highly collaborative membership organization. Primary areas of responsibility include: 1) Internal Operations including fiscal management and data management 2). Programmatic management including project management, staff supervision, and organizational strategy implementation. The person in this role will focus roughly 70% on Operations and 30% on Programs. We seek candidates with solid applied skills in general (non-profit) business operations, strong project management skills, and proven experience as a supervisor and leader.

Essential Knowledge, Skills, and Abilities
- At least five years experience in leadership or management role
- Minimum of three years direct supervisory experience.
- Strong project management and collaborative leadership skills with a bias for action, process improvement, and problem solving.
- Experience developing and monitoring budgets
- Ability and aptitude with technology and database management, specifically logic-based data systems (i.e. Salesforce or other CRM), internet technology and Office Suite.
- Collaborative, calm, and confident with an ability to engage and collaborate with co-workers
- Commitment to the Coalitions mission, vision, and values.
- Understanding of how structural racism and other systems of oppression contribute to homelessness and related issues of poverty, mental illness, substance use, sexual assault, and domestic violence.
- Ability to adapt, prioritize, and exercise flexibility in a fast-paced, fluid work environment.
- Excellent written and interpersonal communication skills, with the ability to communicate respectfully and work effectively with people from diverse economic
circumstances, cultural and ethnic backgrounds, physical and mental abilities, and sexual orientation.

Strongly Preferred:
- Experience working in a small non-profit or business
- Familiarity with housing and human services sector issues
- A valid WA drivers license, proof of current insurance, and access to a working vehicle.
Key roles and responsibilities
1). Operations
- Assess, maintain, and implement improved business processes, including AP/AR, work flow, and information management.
- Manage and oversee strategic use of information technology and systems: Constituent Relationship Management (CRM) database, integrated systems for mass email, event registration, donations, civic engagement.
- Maintain and manage data integrity and accuracy: ensure and support timely and complete data entry and use of CRM and other systems to analyse and report on campaigns and projects.
- Serve as point person for contracted IT support to maintain staff computers, phone system, and security of organizational data.
- General office maintenance: maintain office space, equipment, supplies, and support orderly and usable premises.
a. Financial and data management
- Work closely with contract bookkeeper and accountant to ensure timely and accurate data entry, regular and end-of-year reconciliation, and tracking of financial data
- Carry out regular AP/AR work (prepare weekly deposits; reconcile credit card and bank statements with bookkeeper; process donations, invoices, and reimbursements) according to established procedures
- Work with ED and Board Finance Committee, bookkeeper to develop, prepare and monitor annual budget
- Maintain and improve upon established system of internal financial controls and procedures
- Maintain a calendar of operational, administrative, and legal obligations and ensure timely compliance with city, state, and federal reporting requirements, including: coordinate with contract accountant to submit annual 990; work with staff and contract lobbyist to record lobbying in accordance with IRS 501(h) requirements and local, state, and federal laws.
- Manage organizational contractor relationships:draft and review contracts for services and contractors, hire and supervise contractors in partnership with ED
- Work with bookkeeper and staff to furnish tax documentation for donors
b) Organizational Planning and Resilience
- Use, improve, and maintain up-to-date electronic and hard copy filing systems
- Lead quarterly all-staff planning activities and support work planning as needed
- Manage grants and contracts (monitor budgets, ensure appropriate and timely invoicing and required documentation, track deadlines) in coordination with staff and bookkeeper
- Contribute to grant applications (narratives and budgets); analyze donor data; track matching gifts.
2) Programs
- Manage Annual Membership Drive: communicate with member organizations to renew; invite new or lapsed organizations to join; assess current membership dues and invoice appropriately; monitor and track dues payment and ensure timely acknowledgment and follow up.
