We are seeking an organized, tech-savvy Administrative Assistant to support our Executive Director.

Position Summary

The Administrative Assistant provides administrative and data support to the Executive Director. Mostly working from home on a flexible schedule however some in person meeting is required. Applicant must be mobile in order to commute to Irvine at least twice a week in order to collect mail.

Donor Management

  • Collect and process mail from the organizations PO Box in Irvine on a weekly basis.
  • Accurately enter, update, and maintain donor and gift records in the donor database, ensuring confidentiality at all times.
  • Process donations and generate acknowledgment and thank-you letters in a timely manner.
  • Maintain ongoing communication with donors to support strong relationships.

Fundraising

  • Assist with fundraising events, including pre-event planning and day-of event support.
  • Manage check deposits and maintain accurate digital and paper-based fundraising records.

Administrative Support

  • Track expenses and assist with monthly accounting processes.
  • Provide general administrative support as needed.

Qualifications and Preferred Skills:

  • Strong attention to detail and organizational skills
  • Non Profit Experience is preferred.
  • Experience with donor databases such as Donor Perfect and Constant Contact is preferred
  • Proficiency in Google Docs and Excel
  • Ability to handle confidential donor information with professionalism
  • Prior nonprofit or fundraising experience
  • Basic research skills and data analysis
  • Strong written and verbal communication skills
