Handle all front desk responsibilities efficiently and effectively. Represent Bible League International to all incoming guests, visitors, vendors, delivery personnel, Bible Leagueboard members, partners, and volunteers. Provide a secure premise by patrolling the building, monitoring surveillance equipment, securing entry doors and the generalbuilding perimeter, and verifying visitors. Maintain a general knowledge of Bible League International ministry, including programs and materials available. Assist various departments with special administrative projects as requested.
Duties
- Greet, welcome, and assist Bible League International guests and visitors. Be hospitable, friendly, and courteous, providing excellent customer servicewhile following appropriate safety and security measures.
- Be available to answer generalquestions from visitors regardingBible League’s ministry. Contact appropriate Bible League staff members for appointments, deliveries, etc.
- Manage the front desk responsibilities, maintaining all safety and security procedures and protocols. Serve as a point of contact for staff to report any concerning or threatening behavior from visitors or building vendors.
- Provide phone coverage for the phone operator as needed.
- Remotely work with guests, vendors, delivery personnel, and staff to vet and grant access to the facility in Hurst, TX.
- Be familiarwith the building access control systems, door intercoms, and security camera systems for the security of the building, staff, and guests.
- Manage the building openingand closing procedures daily.
- Be familiar with the guest management system and ensure all building guestsare logged in and given a guest badge.
- Keep a log ofall security incidents and report any notable incidentsto the Senior Director of Operations and People Services.
- Partner with incident response team members to ensure the team is knowledgeable and prepared to handleincidents as they arise. Conductdrills with the incident responseteam twice/year.
- Assist with documenting the safety and security procedures, including fire and tornadodrills and emergency evacuation procedures. Assist with implementing all-staff drills throughout the year and communicate important updates and remindersto Crete and Barnabas staff, as appropriate.
- Assist with communicating and coordinating security-related training for the incident response team, Bible League, and Barnabas staff.
- Twice daily, walk the interior and exterior perimeter, ensuring the buildingand premises are safe.
- Partner with the MailroomCoordinator to assist with incoming and outgoing mail, packages, and deliveries for Bible League International departments. Log all incoming tracked packages and notify staff of deliveries.
- Work effectively with the Front desk receptionist at Barnabas Foundation and Bible League administrative support staff, ensuring schedules are coordinated effectively for lunch, breaks, meetings, etc., so the front desk has coverage during normal business hours each day.
- Train staff to cover the front desk on essentialsystems, security protocols, and incident response.
- Maintain first aid kits throughout the building. Order products as needed. Keep the AED machine up to date. Coordinate with HR on First Aid/CPR training for interested staff.
- Maintain officesupplies for BibleLeague staff. Ensure the office supply room isorderly and order supplies as they are depleted or upon request.
- Provide general office support to the Hurst office staff, Facility Services, and Technical Services teams, including relaying information to BibleLeague’s tour coordinator for Crete office tours, assisting with donor or volunteer mailings, and assisting other team members as needed.
- Become familiar with the Bible League’s online bookstore of products, assist individuals, and answer basic questions about products.
- Coordinate with the Executive Admin team to gather information about upcomingevents, organizational activities, and coordinate with Tech and Facility Services and assist as approved with events.
- Reconcile credit card statements and expense reportsfor assigned staffpersonnel.
- Maintain Facility Services and Technical Services team calendars. Assist Hospitality Coordinator in finding and coordinating volunteers to help with special events, as requested.
- Assist various departments with special administrative projects as requested by the Senior Director of Operations and People Services.
- Perform other duties as requested by theSenior Director of Operations and People Services.

Works collaboratively with: Receptionists, Phone Operators, Facilities Services Team, Technical Services Team, HR Team, Executive Admin Team, Director of U.S. Ministry Support
