Responsibilities
The incumbent: A) Anticipated outputs – Provide timely and effective administrative and operational support to ensure the smooth day-to-day functioning of the office, in line with organizational policies, rules, and procedures. – Support human resources and procurement administrative processes by preparing, processing, and following up on related documentation, contracts, and requests in coordination with relevant units – Ensure accurate processing and follow-up of administrative transactions, including suppliers invoices (including tax invoices), travel and accommodation arrangements, and logistical requests within agreed timelines. – Maintain accurate, up-to-date, and well-organized administrative records, filing systems, and databases, ensuring confidentiality, data protection, and compliance with audit and reporting requirements. – Support budget-related administrative processes by compiling, verifying, and organizing financial and administrative data for periodic reports and management review. – Assist in the administration of departmental projects, fellowships, and grants, including maintaining records, preparing progress reports, and managing logistical arrangements for workshops, conferences, and meetings. – Perform other related duties as may be assigned by the supervisor B) Nature and level of external and internal contacts – Regular coordination with internal units, including Human Resources, Finance, Procurement, and Programme teams, to facilitate administrative processes and ensure timely information exchange. – Professional interaction with external vendors, suppliers, service providers, and consultants for procurement, invoicing, logistics, and service delivery matters. – Coordination with internal and external stakeholders to support administrative arrangements related to meetings, workshops, travel, and accommodation, as required.
