Position Details

Job Title: Legal Administrative Assistant

Department: CAIR Legal Defense Fund

Position: Full-Time

FLSA: Non-Exempt

Reporting to: Legal Operations Manager

Business Hours: 9:00 a.m. 5:00 p.m. (Eastern Time Zone)

Work Model: Remote

Rate of Pay: A candidate can expect to be offered $24.03 as a new hire in the role

Where we operate: This position is open to candidates who are legally authorized to work in the United States and currently reside in the following: Alabama, District of Columbia, Florida, Georgia, Illinois, Maryland, Michigan, Missouri, New York, North Carolina, Ohio, Oklahoma, South Carolina, Tennessee, Texas, Virginia, and Wisconsin.

Position Summary:

The Legal Administrative Assistant provides administrative and substantive support for the legal team with a focus on coordinating the management and response to legal intakesand developing reports based on legal data. The Legal Administrative Assistant is an integral part of the legal team, will work closelywith other departments within the organization, and will interactwith CAIR chapter staff, law firms, sister organizations, and others.

Position Responsibilities:

  • Providing administrative support and secretarial assistance including answering, screening, and directing phone calls; responding to emails; uploadingcivil rights intakes; overseeing the administrative management of legal intakes; conducting fact-gathering and intake calls; attending meetings and taking minutes upon request; capturing action items and ensuring follow-up and prep time for participants; ensuring department tasks are met; among other administrative tasks.
  • Providing essentialand day-to-day supportto the legal team in all areas of responsibility including assisting with internal and external communications; assisting with drafting, editing, and preparation of correspondences and other legal documents; maintaining confidential files; and performing and/or managing special projects upon request
  • Acting as liaisonwith other departments within the organization, including acting as key point of contact for questions, scheduling meetings, coordinating, and providing logistical and administrative support for joint projects and collaborative efforts.
  • Providing administrative supportfor litigation upon request.
  • Writing reports and preparing presentations on departmental findings and updates including writing quarterlyand annual reports,compiling and analyzingcivil rights data, and liaising with other CAIR departments to implement findings.
  • Other duties as assigned.

Position Qualifications:

  • Excellent organizational skillsin terms of managing projectdeadlines and volumesof paperwork.
  • Ability to establish and maintain cooperative working relationships.
  • Must be able to handlemultiple tasks simultaneously and under pressure while prioritizing important issues and meeting tight deadlines.
  • Must be independent at times, collaborative at other times,and have the judgment to discern when to be either.
  • Strong clientmanagement skills required.
  • Excellent researchand writing skills required.
  • Strong attention to detail, strongresearch skills, resourcefulness, and commitment to high-quality and timely work products are necessary.
  • Ability and willingness to master all legal research and softwareapplications that are or may be used.
  • Personal interestin and commitment to American-Muslim issues.
