The Business Operations team plays an important role in this mission by providing transparency and expert advice on portfolio, budget, finance, supplier, and resource management to ensure the successful delivery of projects across the Technology directorate. This involves ensuring that Technology has the right processes, tools, and insights to deliver better outcomes more quickly and efficiently, while facilitating data-driven, informed decision-making, and ensuring Technology has the right resources and investment to deliver value across the charity. As a Business Operations Coordinator, you will provide collaborative administrative support to ensure smooth and efficient operations and that deadlines are met across the Business Operations team. This will involve overseeing documentation, record-keeping, and data management while delivering administrative tasks across planning, financial, supplier, and contract management. Furthermore, you will have the opportunity to help identify, implement, and improve frameworks, processes, and tools to enhance efficiency across the team. If you are an Administrator with experience in record keeping and data management in large, complex organisations, wed love for you to join our mission. What will I be doing? Record-keeping: Managing supplier, contract, and financial documentation. Ensuring information is accurate and accessible, which is key in driving many business operations processes. Inbox management: Monitoring inboxes by promptly reviewing, prioritising, and actioning messages (responding or escalating as necessary). Diary management: Managing a schedule of regular meetings across the Business Operations team, Technology directorate, and Cancer Research UK. Hosting and facilitating meetings and minute taking. Operational support: Collaborating with colleagues to carry out critical tasks in line with the monthly operational cycle, such as: Raising requisitions. Notifying colleagues when contract renewals are due. Supporting with reporting and management information requests. Continuous improvement: Assisting in developing, improving, and embedding frameworks, processes, and tools. Ensuring changes are based on real user needs and feedback. Ensuring lessons learned are addressed so that delivery outcomes and business operations are more efficient and effective. Providing guidance: Acting as a key point of support for the Technology directorate by providing advice, guidance, and support on all aspects of business operations. Driving compliance: Supporting the Technology directorate in fostering collaboration and ensuring compliance with key policies and procedures. Identifying and implementing opportunities for compliance, policy, and procedure enhancements to maintain and refine effective ways of working across Technology. Deputising for the Senior PMO Analyst as required. What skills will I need? Administrative background with experience providing administrative support, record keeping, and data management in large, complex organisations. Accurate and efficient data entry with high attention to detail and Excel proficiency. Strong organisational and prioritisation skills with a track record of effectively planning, scheduling, and managing multiple tasks and diaries, while adhering to deadlines and maintaining attention to detail. Excellent interpersonal and communication skills with a proven ability to communicate effectively in writing, face-to-face, and virtually with a wide-ranging audience. Displays a customer service mindset with the ability to build collaborative relationships, network across the organisation, and work as part of a team to deliver successful outcomes. Has a continuous improvement mindset for identifying and capitalising on improvement opportunities, encouraging innovation, and promoting best practices. Strong problem-solving skills with the ability to identify and resolve challenges. Proficient in Microsoft suite with some experience using finance and budgeting systems (such as Apptio).
