Your Opportunity Based in Meekatharra, the Administration Officer plays a vital role as the first point of contact for clients, staff, and visitors engaging with the service, both face to face and over the phone. This is an onsite position integrated into a communityfocused environment where you will support the smooth operation of programs through efficient, confidential, and highquality administrative support. The role involves managing multiple competing priorities, responding to diverse requests, and ensuring the effective coordination of frontofhouse and backoffice functions. You will also contribute to Emergency Relief services, which support individuals and families experiencing financial hardship by providing immediate material assistance and linking them with appropriate community supports to enhance their wellbeing and selfreliance. Your Key Responsibilities Provide a welcoming, professional, and supportive experience to all individuals accessing the service, using sound judgement, confidentiality, and sensitivity. Deliver a broad range of administrative tasks, including answering calls, managing appointments, processing mail and email correspondence, ordering supplies, and maintaining electronic files and accounts payable activities to support efficient office operations. Manage the reception and frontoffice environment, including coordinating visitors, responding to enquiries, and supporting meetings through room bookings, agendas, minutes, and catering arrangements. Provide administrative support to the Program Manager, including diary support, meeting organisation, and assistance with administrative projects as required. Conduct Emergency Relief intake, schedule appointments, and ensure equitable, fair access to support services while referring clients to internal or external services where appropriate. Assist with financial processes such as preparing budget information, journal entries, petty cash, and corporate card transactions in accordance with organisational policies. Participate in quality improvement activities, including data collection, program reviews, and identifying opportunities for organisational improvement and innovative practice. Requirements for Success Demonstrated experience in administration roles, including handling varied administrative tasks under limited supervision and providing highquality secretarial or frontoffice support. Experience working with vulnerable individuals or within child, youth, family, or community services, with confidence in building rapport with clients, staff, and stakeholders. Strong capability in working respectfully with people experiencing financial hardship, domestic and family violence, homelessness, substance misuse, or healthrelated challenges. Relevant qualifications in Administration or Business (e.g., Certificate in Business Administration) are highly regarded. Proven ability to manage challenging behaviours with dignity and professionalism while maintaining a high level of confidentiality. High proficiency in databases, information systems, and Microsoft Office applications, along with strong literacy, numeracy, communication, and analytical skills. Ability to prioritise and manage multiple competing priorities in a busy and complex work environment, paired with sound problemsolving and solutionsfocused thinking. Full driver licence with no restrictions.
