Super Pollutant Action Allianceis a brand-new, growing organisation that focuses on cutting super pollutants, which are responsible for half of todays climate change yet receive far less than half of global climate funding and attention. Reducing super pollutants, including methane, tropospheric ozone, and black carbon, is the fastest way to limit dangerous near-term temperatures, which is all the more important in a rapidly warming world. In addition, reducing super pollutants improves air and water quality, bolstering food production and potentially saving hundreds of thousands of lives per year.
The Super Pollutant Action Alliance (SPAA) is a philanthropic collaborative backed by some of the worlds leading climate foundations. Our mission is to enable and expand highly effective super pollutant reduction efforts to reduce global temperatures as much and as soon as possible, and to save lives from reduced heat and pollution. With dedicated resources, SPAA aims to catalyze the super pollutant reduction field, working closely with experts, civil society, and policymakers to develop thought leadership, targeted philanthropic interventions, and convenings that increase the impact of the field as a whole.
Position Summary and Primary Responsibilities
The Senior Grants and Operations Associate will play a critical role in supporting the organization’s mission through grants administration and operational excellence. This position will support operationalizing the grants lifecycle while coordinating key operational functions including convenings, funder engagement, and administrative systems. The ideal candidate will bring strong organizational skills and the ability to execute and implement key operational steps to ensure working with SPAA is an enjoyable and seamless experience.
Primary Responsibilities:
Organizational Relationship Management (30%)
- Serve as an administrative point of contact stakeholders such as governments, funding partners, and grantees.
- Arrange and support external facing meetings, calendar invites, agendas and follow up emails and actions.
- Draft correspondence and agendas for a variety of SPAAs stakeholder engagements
- Support relationship stewardship activities with funders
Grants Administration & Processing (30%)
- Support the full grants administration lifecycle, including tracking grant applications, monitoring deliverables and reporting deadlines, and maintaining organized grant records and documentation
- Screen grant applications and reporting materials for completeness and accuracy, following up with applicants and grantees as needed
- Assist with grantee and funder reporting obligations, ensuring programmatic and financial compliance with all grant requirements
- Oversee the timely processing of approved grants, including preparing cover letters, grant agreements, and payment documentation
- Track and review grantee payments and reports due, sending proactive reminders to grantees and program staff to ensure timely submission
System & Records Management (15%)
- Maintain and update the grants management system with funder information, grantee applications, grant details, and associated contact records, ensuring data integrity and accessibility across the organization
- Support the installation, build-out, and ongoing optimization of the online grants management system
- Maintain and update grantmaking procedure manuals, grant cycle timelines, and other internal documentation to support organizational efficiency
- Troubleshoot operational issues related to grants administration and provide solutions to ensure smooth day-to-day operations
Contracts & Vendor Management (10%)
- Ensure all contracts and agreements are executed in a timely manner, coordinating with relevant stakeholders to obtain necessary signatures
- Manage contracts administration with venues and service providers for convenings and events
Convening & Event Logistics (15%)
- Coordinate operational logistics for convenings and events
- Coordinate travel arrangements for stakeholders and SPAAs team members
- Ensure all logistical details are handled efficiently to support successful events
- Support with team retreat planning

You are comfortable working with budgets and financial data, and you approach administrative tasks with professionalism and efficiency. You have strong written and verbal communication skills, and you can effectively engage with diverse stakeholders from funders to vendors. You are proactive in identifying process improvements and implementing systems that enhance organizational effectiveness.
Qualifications
The Senior Grants and Operations Associate need not possess all of the following qualifications, but should have a majority and should be interested in developing the remainder.
- 3-5 years of experience in grants administration, operations, or related fields
- Demonstrated experience with budget management, financial tracking, and reporting
- Proficiency with grants management software or CRM systems (e.g., Salesforce, Fluxx, or similar platforms)
- Strong project management and organizational skills with proven ability to manage multiple deadlines
- Excellent written and verbal communication skills
- Experience coordinating events, meetings, or convenings
- Experience working with funders or in philanthropic organizations is strongly preferred
- Eagerness to learn and develop new operational skills, mindsets, and ways of working

Workplace and Travel
This position is based in our Washington D.C. office (2 days per week in person) or San Francisco, CA (1 day per week in person). If not based in Washington, D.C or San Francisco, CA, a hybrid option is possible in a time zone with at least a 4 hour overlap with 9am-5pm EST. It is expected this role will spend up to 4 working days every other month in our Washington D.C. office. This role may travel up 15% of the time.
Compensation
SPAA and Multiplier provide a comprehensive compensation package, including competitive salary ($90,000-$110,000 annual salary, representing the low and high end of the pay range for this position. Actual pay will vary based on experience), excellent medical and dental benefits, retirement savings, and generous vacation and sick leave policy.
