What Youll Do

As Administrative Assistant you will be the administrative face of The Womens Project (TWP), playing an essential role supporting TWPs daily operations. You will be responsible for office reception and management, program calendars, recordkeeping, procurement, program communications, inventory, event planning, and budget tracking. You will also perform quality control tasks and assist with data collection and reporting for The Fedcap Group and program funder under the supervision of the Sr. Director and Program Manager.

Your responsibilities will include:

Calendar and Events Management

  • Manage program calendar, including workshops, community events, and court dates, in collaboration with Program Manager.
  • Support administrationofcommunity events, such as participant graduations and local outings.

Communications

  • Draft and send monthly, weekly, and daily program workshops and event reminders to participants via text and email, including occasional telephone outreach, in collaboration with Program Manager.

Office Operations and Supplies Management

  • Oversee office operations, including supplies and program space maintenance/organization.
  • Monitoradministration of budgets/allocations for participant necessities, transportation, cell phones, and program supplies under supervision of the Sr. Director and Program Manager.
  • Coordinate all inventory and supply procurement and deliveries.

Program Data Maintenance and Documentation

  • Collect and record program data for Fedcap, funder, and Sr. Director.
  • Maintain and ensure accuracy of program documentation (contact lists, consents, receipts, referrals, etc.).
  • Import referral documentsinto case management systems on a daily basis.

Youre a great fit for this role if you have:

  • Associate’s degree required, with Bachelor’s degree preferred.
  • 2+ years of administrative support experience in an office setting.
  • Strong general proficiency with computers, mobile devices, other digital tools and platforms.
  • Experience with Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
  • Proficiency in ZOOM technology.
  • Experience using digital design programs to produce flyers, charts, and other program materials (e.g., Canva, Prezi, Acrobat, etc.)
  • Familiarity with electronic case management systems (preferred); Or Willingness to be trained and develop into a proficient user of electronic case management systems.
  • Bi-lingual Spanish verbal and written preferred.

The Womens Project Summary

The Women’s Project (TWP) is a Wildcat community-based program aimed at securing the release of women and gender-nonconforming people held in New York City’s jails and preventing the incarceration of women in New York State prisons. TWP staff provide comprehensive care coordination, court support, wellness groups, employment and education assistance, and connections to treatment and housing. TWP is funded by the New York State Division of Criminal Justice Services to provide alternative to detention (ATD) and alternative to incarceration (ATI) services in New York City for 55 women a year.
