The Opportunity

We are seeking aSenior Coordinator, Skadden Foundationto join our Firm. This position will be based in our New York or Los Angeles office (hybrid). The Senior Coordinator will coordinates and support the Skadden Foundation operations, including Fellowship selection processes, Fellow and alumni engagement, governance activities, and Foundation programming. Additionally, the Coordinator will work closely with the Executive Director to ensure effective administration and delivery of Foundation initiatives.

General

  • Coordinates day-to-day administrative operations of the Skadden Foundation and serves as a primary operational resource supporting Foundation leadership.
  • Oversees key administrative workflows related to Fellowship selection, programming, communications, and governance activities.
  • Maintains internal systems and tracking tools related to Fellows, applicants, alumni engagement, and Foundation programming.
  • Identifies opportunities to improve Foundation administrative processes, materials, and operational efficiency.
  • Supports the Executive Director in advancing Foundation priorities through research, coordination, and preparation of materials.
  • Ensures that the Foundations grants, payments and reimbursements are delegated appropriately and completed. Assists with these processes as needed.

Fellow and Alumni Engagement

  • Leads preparation of the Fellowship newsletter, including drafting and editing content, tracking alumni updates, and proactively soliciting submissions.
  • Responds to inquiries from current and former Fellows and monitors the Skadden Foundation email inbox throughout each day.
  • Updates, maintains and improves the Foundation website and other online content.
  • Ensures Skadden Fellowship Directory is up-to-date, including Fellows contact and job information across several internal databases.
  • Drafts and edits Foundation communications, including announcements and other public materials.
  • Ensures Foundation materials and events are accessible.

Fellow Selection

  • Serves as a primary administrative coordinator for the Skadden Fellowship selection process from application submission through final selection.
  • Compiles and maintains applicant charts, statistics, and process tracking materials, including for Advisory Committee meetings.
  • Coordinates interview scheduling with applicants, committee members, and offices.
  • Drafts applicant communications, including notifications and status updates.
  • Assists in preparing Trustee materials (cover letters, presentation decks, application packets) and supports logistics for the Trustees meeting.
  • Coordinates with and assists other Foundation and Firm business services professionals as needed.

Programming & Events

  • Provides planning and administrative support for Fellow events both virtual and in-person.
  • Assists in planning and executing the Annual Fellowship Symposium and Regional Fellows Symposia.
  • Supports all Foundation programming, including Fellow-to-Fellow webinars and regional gatherings.
  • Provides planning and logistical support for Spring Fellow recruitment including Director visits to law schools and virtual presentations
  • Assists Executive Director with preparation of presentations, including PowerPoints.
  • Assists domestic offices with Fellowship-related requests.

Governance & Grant Administration

  • Supports planning of Skadden Foundation Board of Directors and Trustees meetings; prepares materials, takes notes, and drafts minutes.
  • Reviews applications and supporting documentation for the Flom Memorial Incubator Grant (FIG) and assists the Executive Director in the selection process.
  • Manages pro bono requests related to the Fellowship.

  • Demonstrates effective interpersonal, written and verbal communication skills to facilitate effective work relationships with others.
  • Manages Firm resources responsibly.
  • Regular and reliable physical presence.
  • Complies with and understands Firm operation, policies and procedures.
  • Performs other related duties as assigned.

Qualifications

  • Strong organizational and project management skills with the ability to manage multiple and shifting priorities, deadlines, and complex processes
  • Excellent written and verbal communication skills, including the ability to draft and edit professional communications, program materials and public written content
  • High level of attention to detail and ability to manage information across multiple databases and tracking systems
  • Ability to exercise sound judgment, handle sensitive information, and maintain strict confidentiality
  • Strong interpersonal skills and the ability to work effectively with a wide range of stakeholders, including Fellows, alumni, applicants, Firm staff, and governance bodies
  • Proficiency in Microsoft Office (Outlook, Excel, PowerPoint), with the ability to learn new software and operating systems
  • Ability to navigate electronic databases, document management systems, and web content platforms
  • Ability to work independently while coordinating effectively with others across departments
  • Ability to operate effectively in a fast-paced environment with seasonal peak workloads
  • Flexibility to adjust hours and work the hours necessary to meet operating and business needs
  • Flexibility to travel as needed
