The Multicultural Arts Center in Cambridge is a non-profit arts center focused on fostering cultural and creative equity through the visual and performing arts. The Program & Finance Coordinator works at the direction of the Co-Directors in the completion of administrative and financial tasks as well as in support of activities relating to booking, scheduling and organizing programming. They also will support relationships built across partner organizations.

We’re looking for a colleague who brings organizational, financial, and administrative skills along with an interest in our mission and alignment with our values.

Some evenings and weekends will be required in addition to a standard schedule during the week. This is a full-time position averaging 35 hours per week.

Qualifications:

Experience with G-Suite (Google drive, mail, calendar, etc) and Paychex or other payroll processor required

Experience with other nonprofit softwares such as Network for Good, Givelively, or other Client Relationship Management (CRM) software is a plus

Experience with Quickbooks is a plus

Responsibilities:

Finances (40%)

  • Maintain Accounts Payable and Accounts Receivable by logging and paying bills, printing and preparing checks for signature by Managing Director, entering and making deposits, and processing payroll.
  • Update Managing Director on budgetary issues stemming from bank notifications, cash flow and related issues as needed.
  • Enter all applicable financial records in digital filing systems for both production reference and for financial reference.
  • Reconcile all contract charges and cash-out reports after events have taken place with support of Production Manager.
  • Monitor, reconcile and replenish Petty Cash and Box Office till.
  • Prepare monthly bank reconciliations for Managing Director to review.
  • Prepare year-end tax documentation for vendors and employees using payroll service.

Program Support (40%)

  • Assist Artistic Director in scheduling introductory meetings with prospective artist partners, and monitor inquiry form submissions; assist with artist research and help prepare materials for meetings.
  • Coordinate meetings, rehearsals, and deadlines for team, ensuring alignment across artistic and operational priorities; serve as a point of contact between artists, staff, and external partners.
  • Maintain planning documents, contracts, and project materials; track timelines to keep to established schedule.
  • Work to establish regular third-space programs that support community building under the guidance and support of the Artistic Director.
  • Assist Production Manager with evaluating and streamlining booking process for community artist programs.
  • Support marketing efforts through collaborations with community partners on cross-promotion and assisting with internal and external distribution of marketing content.

Facility Operations (20%)

  • Field inquiries relating to rentals and conduct tours for private rental clients and manage follow up as appropriate.
  • Update Managing Director and Production Manager with any issues relating to deliveries, security, the facility artists, visitors, or any other issues or situations that could impact events or operations.
  • Participate in monthly staff meetings and weekly supervision meetings.

Compensation & Benefits

Compensation will be $55,000 – $60,000, 35 hr/week position.

Location

The Multicultural Arts Center currently has a hybrid work environment, however the role requires at least 50% regular in-person hours consistent week to week. This position will include some evening and weekend events on occasion, which are subject to a flexible comp-time policy.
