Dance/NYC seeks a full-time Operations Coordinator who will support the delivery of Dance/NYCs operational, fiscal, and human resources systems. Reporting to the Director of Programming and Operations, this role is responsible for coordinating, maintaining, and improving operational workflows, ensuring follow-through on deadlines, documentation, compliance, and serving as a key point of coordination across teams.

This role requires someone who is detail-oriented, systems-minded, and comfortable managing multiple workflows with guidance and oversight.

Status: Full-Time 40 hours/week, At-Will, Non-Exempt

Commence Date: ASAP

Reports to: Director of Programming and Operations

Supervises: Interns, Volunteers

Coordinates with: Staff and Independent Contractors

Compensation:$28 per hour, budgeted at an annual salary of 59K plus benefits*

Location

Dance/NYC is operating in a hybrid model with remote and in-person work. Because Dance/NYC only serves the five boroughs of New York City and surrounding counties of Bergen, Hudson in New Jersey State, and Rockland, Westchester, Nassau and Suffolk counties in New York State; and the City of Yonkers, Dance/NYC is only recruiting cultural workers who are based in this geographic area and able to commute to Dance/NYCs offices and events regularly.

HYBRID WORK

Dance/NYC uses a hybrid work model that currently operates more remotely and relies on employee autonomy and accountability to function well. The setup detailed below balances flexibility in remote work while prioritizing in-person interactions and human connection to cultivate community and teamwork:

  • We meet in person twice a month; dates are selected in advance and shared with staff.
  • We hold quarterly staff outings to allow for additional in-person connection.
  • In-person days are a priority, as they ensure meaningful face-to-face time, strengthen relationships, and build a sense of team cohesion.
  • Weekly staff meetings, whether by Zoom or in person, are a priority, as they are the only full-team meeting on our regular schedule.

While Dance/NYC operates as a primarily remote organization, all employees are required to maintain permanent residence within Dance/NYCs defined service area. Employees must also be available to commute regularly for in-person meetings, co-working sessions, events, or other organizational activities, as needed. Occasional evening and weekend work may be required and is compensated through flexible scheduling and/or PTO in accordance with organizational policy.

Essential Function, Duties and Responsibilities

Office Operations & General Administration (45%)

  • Coordinate day-to-day operational workflows to ensure organizational systems function smoothly
  • Maintain and update operational documentation, files, and records (digital and physical)
  • Manage files on Google Drive
  • Track and support internal and external deadlines; flag risks or bottlenecks to the Director of Programming and Operations
  • Provide logistical coordination for internal meetings and events (scheduling, agenda, materials, notes, follow-up)
  • Maintain action-item notes, while ensuring follow-through across departments
  • Collaborate cross-departmentally on fundraising projects and organizational priorities
  • Monitor correspondence from shared inboxes (such ashumanresources@dance.nyc,operations@dance.nyc, and inactive staff inboxes)
  • Serve as liaison with building management and vendors for facilities, office needs, and office technology logistics
  • Support inventory management and storage systems
