About the Role

The Operations and Programs Associate is a cross-functional role that supports Brem Foundations day-to-day operations, programs, volunteer and intern coordination, and communications logistics. This role serves as a key implementation partner to the Director of Operations and the VP of Impact & Strategy, helping ensure organizational systems, programs, and partnerships run smoothly and efficiently.

Key Responsibilities

General Operations

  • Serve as the first line of communication for Brem Foundation by managing the main phone line and general info email account.
  • Manage mail and check pickup at the Silver Spring office, including timely check deposits.
  • Maintain inventory of organizational collateral and office supplies, including materials stored at the Silver Spring ExtraSpace storage unit.
  • Support internal coordination by creating calendar events, staff meeting invitations, and meeting materials; assist with organizational note-keeping and documentation, including use of AI tools.
  • Maintain organization of the Google Drive and create/update a Google Drive document location map for staff reference.
  • Provide administrative and operational support to the Director of Operations, including:
    • Keeping the invoice tracker up to date
    • Organizing receipts for monthly credit card reconciliation
    • Preparing and organizing documents for the annual audit
    • Tracking software renewals, invoice due dates, and compliance deadlines
    • Formatting, printing, and organizing board meeting materials
    • Other operational duties and cross-functional support of CEO and team, as assigned

Program Management and Advocacy Coordination

  • Prepare for and attend meetings with nonprofit partners, corporate partners, medical advisors, and community leaders in education, access and advocacy.
  • Lead logistics for educational programming, including drafting run-of-show documents, coordination of event details and generally support VP of Impact & Strategy with stewarding relationships with partner organizations.
  • Provide logistical and substantive support to a range of Brem’s Programs, including education events and content; staffing health fairs; supporting Brem Fellows, and Wheels for Women, B-Fund, and Re-Bra, consistently focusing on program quality and improvement.
  • Support measurement of impact and evaluation of program success.
  • Coordinate logistics, donations, and volunteer communications for the Re-Bra Initiative.
  • Support advocacy initiatives under the direction of the CEO, including coordination of materials, scheduling, and logistics for advocacy-related meetings, briefings, or events.
  • Assist with tracking advocacy activities, timelines, and contacts, and support advocacy-related communications through drafting and formatting materials for leadership review and approval.

Communications and Content Management

  • Support relationship with Brems marketing firm by executing assigned tasks in Bloomerang and other technology platforms, in coordination with the Development Associate.
  • Update and maintain the Brem Foundation website (Squarespace), including program updates, upcoming events, breast health information, and general content edits.
  • Draft and execute social media posts, digital newsletters, and campaigns related to programs, education initiatives, access programs, and advocacy implementation.
  • Monitor program-related social media activity to engage with followers and support audience growth.
  • In collaboration with the Development Associate, contribute to the development and maintenance of Brems shared communications calendar and coordinate on cross-functional campaigns.

Intern and Volunteer Management

  • Manage volunteers for events and ongoing engagement, including:
    • Improving volunteer systems (contact information, materials, and communications)
    • Fielding volunteer inquiries
    • Coordinating and mobilizing volunteers for events
    • Supporting volunteer engagement and retention
  • Manage the intern hiring process in collaboration with internal leadership, including drafting and publishing intern job postings, monitoring job platforms, and screening candidates.
  • Develop and maintain an annual schedule for intern semesters.
  • In collaboration with the Director of Operations and VP of Impact & Strategy, oversee intern projects and utilization to ensure a meaningful and productive Brem Foundation experience.
  • Manage academic credit documentation and any required paperwork with participating schools.

You enjoy both administrative work and mission-driven program support, bring strong writing and editing skills, and value creativity alongside structure.

Skills and Qualifications

  • One to two years of relevant professional experience
  • Bachelors degree required
  • Highly organized, collaborative, and self-directed; comfortable wearing many hats
  • Strong interpersonal skills with excellent written and verbal communication abilities
  • Proficiency with office productivity tools and technologies (e.g., Google Workspace, Microsoft Word/Excel, printers, scanners)
  • Experience using Canva and email marketing or campaign platforms
  • Experience with social media marketing
  • Strong time management skills and attention to detail
  • Ability to adapt to evolving strategies, procedures, and organizational needs
  • Reliable and discreet when handling sensitive or confidential information
