THE CHISHOLM LEGACY PROJECT SUMMARY:

The mission of the Chisholm Legacy Project is rooted in the Just Transition Framework. The project serves as a vehicle to connect Black communities on the frontlines of climate justice with resources to traverse the path from vision to strategy to action plan to implementation to transformation. In support of frontline leadership, the project seeks to link movements and mainstream entities with the tools necessary to advance systems change centered in equity and justice. With Black women on the frontlines of advancing systems change, this project ensures that these leaders have the support they need as they transform society from extractivism to a living economy that cares for sacred relationships between people and with Mother Earth, through regenerative, cooperative, democratic systems.

SUMMARY OF THE POSITION

The Implementation & Coordination Manager, Programs & Organizing Department provides comprehensive administrative, project management, and coordination support to the Programs and Organizing Department. This role is critical to ensure the department operates. The position supports day-to-day operations, manages multiple workstreams, and assists the Senior Managing Director and team leaders in implementing short-term and routine operational priorities.

The Implementation & Coordination Manager, Programs & Organizing Department works independently on assignments of limited scope, applies organizational policies and procedures to resolve routine issues, and builds stable internal working relationships while supporting departmental leadership.

The position requires a deep knowledge of, respect for, and desire to work for and with the communities TCLP serves. This position also requires strong organizational skills, attention to detail, and the ability to manage multiple tasks in a fast-paced environment.

This position will report to the Senior Managing Director of Programs & Organizing. In addition, the position will work closely with the team leaders of the department including Senior Director of Programs, Senior Director of Organizing, and Managing Director of Just Transition Municipalities Institute (JTMI).

ROLE AND RESPONSIBILITIES

Administrative Support

  • Work with Department leaders of the Programs and Organizing Department to provide high-level administrative support.
  • Support the Senior Managing Director with follow-up, documentation, and administrative execution of departmental priorities, grant deliverables, and workflows.
  • Prepare, format, and maintain professional documents, presentations, reports, and correspondence.
  • Develop and maintain organized electronic and shared file systems in alignment with organizational standards.
  • Apply TCLP policies and procedures to resolve routine administrative and operational issues in alignment with the constituency-driven strategy.
  • Demonstrate extreme reliability and accountability in managing deadlines, materials, and follow-through.
  • Support routine updates to TCLP programs and organizing tools and systems.
  • Support in person engagements, logistics and coordination,

Project Management

  • Manage multiple short-term and routine projects simultaneously, ensuring deadlines, quality standards, and defined deliverables are met.
  • Collaborate with the Managing Director of Organizational Development and Impact, and P&O department leaders to support planning and execution of departmental goals, milestones, workplans, and priorities.
  • Assist in coordinating budgets, invoices, and expense tracking for departmental activities.
  • Identify operational risks, bottlenecks, and opportunities for improved efficiency, escalating issues as appropriate.
  • Demonstrate a strong track record of setting priorities, problem-solving, and making tactical decisions related to daily operations.

Coordination and Communication

  • Coordinate internal and external meetings, including scheduling, agenda development, materials preparation, and follow-up.
  • Draft and circulate meeting agendas; capture accurate meeting notes; track and communicate action items.
  • Serve as a point of coordination between Programs and Organizing staff and internal TCLP teams (e.g., Executive Team, Operations, People Success, Narrative, Organizational Development and Impact) and external partners.
  • Build and maintain stable working relationships across departments and functions.
  • Communicate clearly and professionally with team members, leadership, and stakeholders at all levels.

TECHNICAL SKILLS

  • Proficiency in Microsoft Word, PowerPoint, and Excel
  • Experience using project and workflow tools such as Asana and other relevant software
  • Comfort working with shared digital workspaces and collaboration platforms

EXPERIENCE

  • Minimum of six (6) years of related administrative, project management, or coordination experience
  • Demonstrated experience supporting senior leadership or complex teams preferred

POSITION TERMS

  • This position is exempt and expected to work a 40-hour work week
  • This position is remote. Candidates must have the ability to work from their home location, and have access to stable, high-speed Internet.
  • This position will receive a 90-day (about 3 months) performance.
  • Ability to travel upon request; in addition to traveling to in-person meetings for the organization, including but not limited to 2 to 3 staff retreats and 2-3 department/team retreats per year.
