Financial Administrator (Part-Time, Hybrid)

Location: 440 River Rd, Branchburg, NJ 08876 (Hybrid: On-site + Remote)

ABOUT FRONTLINE ARTS

Frontline Arts connects communities through socially engaging arts practices rooted in printmaking and papermaking. We serve veterans, artists, educators, and community members through our studio programs, exhibitions, and outreach initiatives. Our mission is to build community through collaborative artmaking, amplify the voices of underrepresented people, and support healing and expression through the arts. POSITION SUMMARY

Frontline Arts is seeking a detail-oriented, proactive, and mission-aligned Financial Administrator to support the organization’s day-to-day operations. This part-time hybrid role (approximately 2030 hours per week) will handle bookkeeping functions and oversee administrative processes that keep the studio and nonprofit running smoothly. This position reports directly to the Executive Director. The ideal candidate will thrive in a creative environment, enjoy working on a small, collaborative team, and care deeply about supporting the arts and community engagement.

This role may also occasionally assist with Frontline Arts events, including support for logistics, materials prep, and onsite coordination.

KEY RESPONSIBILITIES

Bookkeeping (in collaboration with our external accountant):

  • Maintain accurate vendor, donor, and customer records
  • Record accounts receivable (donations, grants, earned income)
  • Process accounts payable and reimbursements with appropriate approvals
  • Reconcile monthly bank and credit card statements
  • Assist with payroll submission and tracking via ADP or a similar platform
  • Support grant tracking, audit prep, and board financial reports
  • Maintain secure digital and paper records of financial and personnel information

Office Administration:

  • Support with Square invoicing, supply ordering, and maintaining vendor relationships
  • Maintain general office systems, including digital filing and procedure updates
  • Provide logistics and prep support for staff, board, and committee meetings
  • Assist with onboarding documentation and coordination for new hires
  • Support event logistics and occasional studio-based tasks
  • Coordinate basic IT needs with part-time or contracted support
  • Participate in Frontline Arts public-facing events as needed (some evenings/weekends may apply)

REQUIRED SKILLS & EXPERIENCE

  • 23 years of bookkeeping or administrative experience in a nonprofit or small business setting
  • Experience with QuickBooks Online (required)
  • Intermediate to advanced Excel proficiency
  • Familiarity with Google Workspace and Microsoft Office
  • Support grant tracking, prepare audit schedules, and generate board financial reports
