Full Job Description

Org. Setting and Reporting

The temporary position is located within the United Nations Support Office in Haiti (UNSOH). Pursuant to Security Council resolution 2793 (2025), UNSOH has been mandated to provide support; primarily to the Gang Suppression Force (GSF), the United Nations Integrated Office in Haiti (BINUH), the Haitian National Police (HNP), and the Haitian Armed Forces in the context of any joint operations with the GSF. Additionally, UNSOH is tasked with delivering technical assistance to the Organization of American States (OAS). The incumbent will perform the following duties: Provide administrative support the senior management on aviation safety matters. Administrative support in the management of the Mission Aviation Safety Programme. Administrative support in the management of the Mission aviation hazard and risk management and safety assurance. Administrative support and assistance in the management of the Aviation Emergency Response Plan. Administrative support on the coordination with the host country civil and military aviation authorities. The temporary position is based in Port au Prince and is located in the Aviation Safety Unit of the Office of the Director of Mission Support. The incumbent will report to the designated official Chief of Unit, Aviation Safety.

Responsibilities

The incumbent will be responsible for the completion of the following activities related to the implementation of the Mission Aviation Safety Programme in line with UN AVSTADS, DPKO and DFS Policies/guidance as tasked by the Aviation Safety Officer: Aviation Safety Programme Support

  • Assists in the preparation and conduct of aviation safety inspections, evaluations and assessments by gathering documents, tracking observations, and supporting verification activities.
  • Supports the monitoring of safety recommendations, corrective actions, and compliance requirements.
  • Liaises with aircrew, Aviation Section, MovCon, maintenance personnel, and other mission components to facilitate information flow related to safety reporting and operational updates.
  • Assist in the preparation and dissemination of aviation safety promotion initiatives and awareness campaigns.
  • Support the coordination and administration of aviation safety training activities, including online courses, and training material development.
  • Participates in the implementation of Aviation Emergency Response Plans and assists coordination of aviation safety related issues with local authorities.
  • Assists in organizing the Mission Aviation Safety Council meetings and assists in the preparation, production and distribution of minutes.
  • Draft routine communications related to the Mission Aviation Safety Programme.
  • Administers missions Aviation Safety Platform as required. Data Analytics & Reporting
  • Updates aircraft and air operator records in the aviation safety database and provide support to the respective users in completing and uploading the required aviation safety reports into the database.
  • Collects and consolidates aviation safety data including flight operations records, occurrences and hazard reports, after mission reports, and maintenance documentation.
  • Support the preparation of periodic aviation safety statistics, charts, dashboards, and data summaries to support trend monitoring, risk management, and safety performance indicators, for internal reporting and management review.
  • Assists in preparing periodic aviation safety reports, presentations, and briefings. Clerical & Documentation Support
  • Maintains and develops, organized electronic and physical filing systems for safety documentation, ensuring accuracy, completeness, and compliance with mission and UN recordkeeping guidelines.
  • Drafts routine correspondence, meeting notes, safety circulars, and updates to safety databases.
  • Coordinates the scheduling of safety meetings, audits, and training sessions; prepares agendas, attendance lists, and followup documentation

Job – Specific Qualification Certificate on Data analytics course is desirable. Additional technical or academic qualifications in Aviation, Data Analytics, Safety Management, Engineering, or Business Administration are desirable. Work Experience A minimum of five (5) years of progressively responsible experience in administrative support, clerical functions, or aviationrelated operations is required. The minimum years of experience is reduced to three (3) years with first-level university degree or equivalent in Data science, Business administration or Aviation Management Proficiency with standard MS office software is required. Experience working with data processing tools (eg. Excel, Power BI), databases, AI agents, or reporting dashboard is desirable; Experience in an aviation, transport, engineering, safety, or operational environment is desirable. Aviation Safety qualifications are desirable Languages English and French are the working languages of the United Nations Secretariat. For this job opening, English and French are required.
