Position Summary

The Centers Finance Specialist is responsible for reporting directly to the Finance Director and assisting with all financial aspects of the organization. Duties include preparing budgets, monitoring expenses, conducting financial analysis, overseeing and preparing financial reporting, ensuring compliance with regulations and guidance, and purchasing needed supplies, including travel and transportation for all staff members. The Finance Specialist may also assist with Payroll, Accounts Payables, Accounts Receivables, Budgeting and Forecasting, Expense Management, Cash Management, Taxes, Internal and External Audits, Cost Accounting, and Fixed Assets Accounting. This role assists The Centers Director of Finance, the Finance Unit, and the agency in managing, processing, and troubleshooting various accounts and transactions. The role is mostly supportive in nature taking on time-consuming tasks to help advance The Centers financial goals. Furthermore, the Finance Specialist will be responsible for all purchases, including travel arrangements and supply requests. The Finance Specialist should be committed to supporting the financial health of The Center.

Essential Functions

  • Process and prepare financial and business forms for the purpose of checking account balances, facilitating purchases, and other financial functions.
  • Perform routine calculations to produce analyses and reports as requested by the Finance Director.
  • Create, send, and follow up on invoices.
  • Review and adhere to budgets.
  • Collect and enter data for various financial spreadsheets.
  • Review reports to ensure all calculations and data entries are correct.
  • Reconcile any discrepancies or errors identified by conversing with employees and/or clients.
  • Collect information about payroll payments from employees.
  • Assist the Finance Director in creating financial reports on a regular basis.
  • Adhere to The Centers financial policies and procedures.
  • Answers questions and aids stakeholders, customers, and clients as needed.
  • Handle communications with clients and vendors via phone, email, and in person.
  • Attend Finance Unit and company-wide meetings, sometimes assisting with financial reporting to the Executive and Deputy Directors.
  • Suggest changes or improvements to increase accuracy, efficiency, and cost reductions.
  • Perform related duties as assigned, within the scope of practice for this position.

Required Education and Experience

  • Bachelors or higher degree in Business, Finance, Accounting, or a related field.
  • Demonstrates knowledge and proficiency in Mathematics and Financial Rules and Practices
  • Experience in nonprofit financial management
  • Strong analytical skills
  • Knowledge of tax-exempt regulations
  • Understanding of data privacy standards.
  • Proficiency in Google Suite Software, and Microsoft 365, including Word, Excel, PowerPoint, and QuickBooks Online.
  • Experience with non-profit finance strongly preferred
  • Experience working with federal and foundation grants strongly preferred

Work Environment

The work environmental characteristics described here represent those employees encounter while performing the essential functions of this job. The qualified employee will work in an indoor, remote, home office setting, and interact with staff, consultants, outside vendors, and media representatives, and is subject to be interrupted throughout the workday. During travel, extreme weather conditions may be encountered, including temperature variations, excessive noise, and other distractions.

Physical Demands

Exerting up to 20 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects including equipment necessary to perform job functions. Repetitive motion, and substantial movements or motions of the wrists, hands, and/or fingers. Close visual acuity (with or without correction) to perform activities such as preparing and analyzing data and figures; transcribing; viewing a computer screen; and extensive reading, reviewing, and editing documents and publications.

Travel Requirements

Travel requirements at The Center include but are not limited to at least two all-staff meetings per year at our headquarters or field office in Durham, North Carolina, or Cleveland, Ohio. The Center provides ordinary and necessary travel expenses to employees. This position is expected to travel up to 30% of the time, annually.

Work Authorization

The Center participates in E-Verify. All employees at The Center must be able to satisfy the requirements of the Immigration Reform and Control Act of 1986, which requires documents to prove the employees identity and demonstrate that they are authorized to work in the United States and to complete an Employment Eligibility Verification form (Form I-9).
