Asian Pacific Fund (APF) is seeking a full-time Manager of Executive Operations that will play a critical role in helping our leadership function at its highest level by providing direct strategic and administrative support to the President & Executive Director. The ideal candidate will be an organized, proactive, detail-oriented person who excels at overseeing logistics and communicating across multiple stakeholders.

What Youll Do

The Manager of Executive Operations, who is based in the Bay Area and reports to the President & Executive Director, is responsible for the following:

  • Serve as a strategic thought partner to the President & Executive Director, helping to set priorities, track organizational goals, and ensure follow-through across teams.
  • Manage the EDs time, calendar, and priorities translating high-level goals into actionable workflows and ensuring the ED is prepared and focused on the highest-impact work. This includes managing travel arrangements and materials preparation for meetings and speaking engagements.
  • Lead cross-functional coordination among APF staff, ensuring clear communication, accountability, and alignment on organizational initiatives and timelines.
  • Prepare and manage materials for board meetings, including agendas, briefing documents, and follow-up action items
  • Drive special projects and strategic initiatives on behalf of the ED, including research, stakeholder engagement, and partnership development.
  • Provide logistical and general staffing support for organizational events including arranging meeting spaces, catering, and AV support as needed.
  • Other responsibilities as assigned.

  • Leading a cross-departmental planning session to align the team on quarterly priorities, having already synthesized input from four program leads and drafted a clear one-pager for the ED to review.
  • Drafting a polished acknowledgment email on behalf of the ED within minutes of a donor event, capturing the right tone and key details without needing extensive back-and-forth.
  • Proactively flagging a gap in the EDs upcoming week a conflicting prep call before a board presentation and quietly rescheduling it before the issue arises.
